With several contractors, establish who coordinates interfaces, checks documents and flags decisions for you. This brief concerns organising and following execution. Put scope in writing: site supervision does not guarantee permanent attendance, unchanged budget or an unchanged completion date.
Assign tasks without gaps
OAI emphasises contracted tasks and interfaces within the project team. List design, technical studies, enquiries, coordination, specified checks and completion assistance. Assign responsibility and any specialists for each; a main contact does not replace every skill.
Build a schedule with decisions
Request a sequence suited to the project, procurement and dates when your choices are needed. Identify checks before closing a wall or covering work. Assign updates and delay alerts. Painting before flooring, for example, is not a universal rule.
Define visits and reports
Agree meetings around work stages and arrangements for urgent needs. Request reports with observations, decisions, owners and deadlines. Specify what is checked and when another expert is needed. Periodic visits are not continuous observation of every contractor action.
Control scope changes
Track accepted quotes, invoices, proposed changes and remaining expenditure separately. Define authority to approve spending or issue instructions. Before a variation, state cost, delay and technical effects; do not leave financial consent unclear in oral exchanges.
Prepare completion and handover
Define assistance in examining work, recording outstanding items and tracking resolution. Specify final drawings, instructions and documents. For joining an ongoing job, record takeover status and inspection limits. Do not automatically assign all responsibility to one party without examining duties and facts.
